Jobs
Every piece of work is a job: client, description, quantity in your own units (words, hours, pages — you define them), rate, currency, dates. Statuses follow reality — Confirmed, Delivered, Billed, Paid — and a job's number is permanent identity, never reused. Client defaults learn as you work: pick a client and their currency, unit, tax rate and payment terms fill themselves. Overdue deliveries surface on the Overview; nothing you owe or are owed ever hides behind pagination.
Invoices
Group any billable jobs into an invoice with one action. Numbering is legally sequential per year — and if you delete an invoice, its number is honestly freed for reuse, the way an accountant would expect. The PDF is clean and professional, generated in your client's language — English, German, French, Italian, Spanish or Turkish, set once per client — with your business details, tax handling (inclusive or added), and payment terms. Send it by email without leaving the app.
Payments — with the truth about bank fees
Record what actually arrived. If your bank kept a transfer fee, note it: the invoice still settles on the full amount, and the fee is remembered as your cost. Partial payments and overpayments are handled plainly, and the Money page speaks strictly cash — what was received, when — while the rest of the app speaks accrual. One accounting basis per screen, each screen declaring which.
Expenses
One-time expenses and recurring ones — subscriptions, rent, insurance — that record themselves every renewal. Your own categories, tracked alongside job costs, so profit means what it says.
Multi-currency, honestly labeled
Work in any currencies you enable. Figures convert into your base currency at daily European Central Bank reference rates — and every converted number in the app is labeled as indicative, at today's rates, because a conversion is an estimate and Deftest doesn't pretend otherwise. Historical amounts stay recorded in their original currency, untouched.
Stats across your whole history
Year by year, month by month: income, volume in your units, breakdowns by client, country or currency — across every year you've imported. Built to stay fast with decades of data — tested against books of thousands of jobs.
Built for every trade, not one
Every freelance business tracks something different — so Deftest assumes nothing about yours. Add your own fields to jobs — text, numbers, dates, dropdowns — and start from templates for translation, photography, development, design, consulting, or trades. Fields you stop using retire gracefully: old records keep their history, because history is never strong-armed.
Import your past, not just your future
CSV import with column mapping, a full preview before anything is written, plain warnings about anything that can't be honored, and one-tap undo for the whole batch. The jobs export doubles as the import template — with your own entries as worked examples — so migrating from spreadsheets or another tool is a mapping exercise, not a retyping project.
A backup you can open in twenty years
One tap saves a folder of plain CSV files — jobs, invoices, payments, expenses, your full client book, your business profile — plus a ReadMe explaining how to restore. Every file opens in Excel or Numbers, with or without Deftest existing. That's what "your data is yours" means when it's taken seriously.
Sync without a server
Mac, iPhone and iPad stay in step through your own private iCloud. No Deftest account, no third-party cloud — the same Apple infrastructure that syncs your Notes and Photos, reading from a database only you can access.
